A Registered Letter in Penneo allows you to securely send PDF documents to recipients without requiring a signature. You can also add extra identity validation (like eID) to ensure only the intended recipient can view the files.
Creating and sending out a registered letter: Step-by-Step Guide
Follow these steps to set up and send your registered letter:
Step 1: Create the Registered Letter
- Log into Penneo, click Create New in the top-left corner, and select Registered Letter.
Step 2: Add Title & Language
- Title: Enter a descriptive case file title under the Title field.
- Language: Select the primary language. This determines the interface language your recipient sees.
Step 3: Select Storage Folder
- Choose where to store the case file. To change the default path, click Change next to the active folder.
Step 4: Add Recipients & Security
- Click Add new recipient and enter their details.
- Note: If you want to restrict access by Social Security Number, you must configure this setting now during this step. More information about this feature is explained below.
Step 5: Upload Your Documents
- Click Click here to upload files to select one or multiple PDF documents to send.
Step 6: Write or Select a Message
- Choose a predefined email template or write a custom message to your recipients.
Step 7: Send the Letter
- Review your details and click Send Registered Letter to complete the process.
Security & Verification Settings (Optional)
You can enforce higher security to protect confidential documents before they are opened:
- eID Identity Validation: If enabled, recipients must verify their identity using a recognized eID (such as MitID in Denmark or BankID in Sweden/Norway) before they can view the documents.
- SSN Restriction: You can restrict access further by entering the recipient's specific Social Security Number (such as a CPR number in Denmark). Only the individual logging in with the matching eID will be allowed to open the files.
⚠️ Important: To restrict access by Social Security Number, you must configure this setting during Step 4 (Recipient Setup). It cannot be added after the letter is sent.
