Privacy & Sharing
Penneo is private by default, meaning that you are the only one who can see your files until you deliberately choose to share a folder.
You cannot see anyone else's files unless they share them with you.
We highly recommend sharing your active folders with your team. That way, if you are out sick or on vacation, your colleagues can step in and take care of your clients. If you need access to a coworker's folder, you must contact them directly.
How to create folders
1. Click Archive on the left-side menu to open it.
2. Click into the folder where you want to create a new one.
3. Click the New Folder button.
4. Type a name for your folder and click Create.
The default folder is marked with a star to the left in your list of folders. This is the default option where your casefiles are stored after sending, unless you specify otherwise when creating the casefile.
How to move folders
1. When looking at your list of folders in the archive, click the checkmark box to the right of the folder you want to move. If you want to move a subfolder, open its parent folder first, then click the checkmark box of your subfolder.
2. Click the move button that appears to the left above the list of folders.
3. Select the folder you want to move it to.
Searching in the archive
Use the search bar to find folder and casefiles by their titles.
Please note that searches are limited to your current folder level. To search for documents inside a subfolder, you must open that subfolder first.
How to share a folder
1. Hover your mouse over the folder you wish you share.
2. Click the Share Icon.
3. Type in your colleague's email.
4. Choose what they are allowed to do (see access levels below)
5. Click Grant Access.
Users on your company account get access immediately.
People outside your company account will get an email invitation. They will show as "Pending" until they click the link to join.
Access levels
Can view: Users can only look at the files. They can't change or delete anything.
Can edit: Users can look at, edit, save, and delete files inside that folder.
Can manage: Users can do all of the above, plus they can share the folder with other people or remove people from it.
How to delete a folder
1. When looking at your list of folders in the archive, click the checkmark box to the right of the folder you want to delete. If you want to delete a subfolder, open its parent folder first, then click the checkmark box of your subfolder.
2. Click the delete button that appears to the left above the list of folders.
You can only delete folders where you are the owner. Attempts at deleting folders that have been shared with you, will only remove them from your own archive. They will remain visible to the owner and other users with access.
