Overview of identity validation in Penneo
Penneo Identity Validation lets you securely request information and documents (such as photo IDs) from recipients via an automated email link.
Subscription required: Identity validation is a paid add-on feature. Contact Penneo support or sales to add it to your account.
How to create an identity validation request
Step 1: Start a new request
Log in to Penneo. In the left menu, click Create New and select Identity validation.
Step 2: Set up basic details
- Enter a Title for the request.
- Select the Folder where the files should be saved.
- Choose the Language for recipient communications.
- Set an automated Reminder interval.
Step 3: Add recipients
Click Add new recipient, enter their Name and Email, then click Add Recipient. Repeat this step for additional recipients.
Step 4: Select required documents
Check the boxes for the information or documents you need:
- Enabled: Optional for the recipient.
- Required: Mandatory for the recipient.
Note: Penneo Sign collects uploaded photo IDs but does not analyze or verify their validity.
Step 5: Customize email and send
- Review or edit the email message (or apply a saved template), then click Send.
Managing Archive Access
The Identity Validation Archive stores all active, pending, and completed validation cases.
Giving User Access to the Archive
By default, users can send requests, but only authorized users can access the archive to manage or delete cases. A Penneo administrator must grant archive rights:
- Open user settings: Go to Configure > Company and open the Users tab.
- Enable rights: Click on the specific user. Under Rights, check the box for Identity validation.
- Save changes: Click Update User Details.
Tip: The updated user may need to log out and log back in to see the archive.
