This guide will walk you through how to sign documents via Penneo. You can follow the steps listed or choose to watch the video below. If you have already opened your signing request in your email, and are looking for the process of your preferred eID, click here to find instructions related to your specific signing method.
Signing process

The process starts when you receive an email containing a link to the document(s) that requires your signature.

Once you have clicked on the link in the email, you will be directed to a signing page where you can view the document(s) that needs to be signed. In some instances, you may be required to log in before you can view the document.

Read through all the documents and click on Sign document(s) when you are ready to sign.

Once you have selected your preferred method, follow the steps to complete the signing process. Below you can find detailed instructions on how to sign with each signing method.

Once you have completed the signing process, you might be prompted to choose how long you want to store your documents. It's important to note that you must select one of the options, otherwise your signature will not be registered.

After completing all the required steps, you will see a success message indicating that you have successfully signed the document. Once every entitled person has signed, you will be notified by email that the finalized documents are now available.
You can retrieve your signed document from app.penneo.com by logging in using the same method you used when signing. Read more about it here: How to get the signed document when it's finalized.
- If access control is activated, you will have to confirm your identity with an electronic ID before accessing the documents. Simply choose with what eID you wish to confirm your identity. Note that this is not the same as signing the documents. If you experience access denied, click on Try to get access using another eID to continue the process.
- If access control is activated with a signer specific social security number added, it is only the person with an electronic ID that matches the given social security number who will be able to open and view the documents. If, after having validated your identity receive the message "It looks like you don't have access" - then you should contact the person who sent you the documents directly. You can refer them to this guide showing the right format for social security numbers.
- If access control is not activated, you will be able to see the documents right away. Continue to the next step.
How to sign (by method)
Find your preferred signing method below and follow the instructions.
Note that the sender of the documents chooses what signing methods you are allowed to sign with. If you are missing your preferred signing method, contact the sender.
How to sign using Danish MitID
- When you have clicked on Go to signing, you will be presented with your signing options. Choose MitID Denmark. If you do not have this option, it is because the requester has not allowed you to sign with this method. If you would like to sign with MitID, contact the requester.
- Enter your MitID username and click on Continue.
- Approve the request on your MitID app.
- Once approved, you have to enter your social security number (SSN) for the signing process to continue.
- You will be directed back to Penneo, and asked to confirm by clicking Sign Documents.
- You are all set! The document has been signed, and the page will show you a confirmation.
How to sign using Swedish BankID
- When you have clicked Go to signing, you will be presented with your signing options. Choose Swedish BankID. If you do not have this option, it is because the requester has not allowed you to sign with this method. If you would like to sign with BankID, contact the requester.
- Login to BankID. You can use mobile BankID to confirm, or you can use a key file installed on your computer.
- When you have been sent back to the signing page in Penneo, confirm by clicking Sign Documents.
- You are all set! The document has been signed, and the page will show you a confirmation.
How to sign using Norwegian BankID
Note: Signing with Norwegian BankID requires both a Bank Code Device (Engangskode, one-time password) and a personal password. Read more about this here: Using a Personal Password when signing with Norwegian BankID (BID & BIM)
- When you have clicked Go to signing, you will be presented with your signing options. Choose Norwegian BankID. If you do not have this option, it is because the requester has not allowed you to sign with this method. If you would like to sign with your Norwegian BankID, contact the requester.
- Once you have chosen to sign the document with your Norwegian BankID, you will be forwarded to a page showing Terms and Conditions. Read through the page, and click on the blue button if you wish to agree with the terms and continue the signing process.
- Now, you will be asked to insert your social security number.
- In the next step, you will need to insert a one-time password. This password can either be generated by a BankID coding device or your smartphone app.
- Now you are ready to sign. You sign by using your personal password.
You are all set! The document has been signed, and the page will show you a confirmation.
BankID on Mobile
You can sign via Norwegian BankID on mobile, but you still need both your personal password and BankID coding device. This is because the Norwegian BankID is processed through a sim card, and PDF documents are too big to be processed this way. How to sign using finnish FTN
here are two ways to sign with FTN: you can use Bank identification credentials (Pankkitunnukset) or Mobile ID (Mobiilivarmenne).
Signing with Bank identification credentials
- When you have clicked Go to signing, you will be presented with your signing options. Choose Finnish Trust Network. If you do not have this option, it is because the requester has not allowed you to sign with this method. If you would like to sign with FTN, contact the requester.
- Choose Bank identification credentials.
- Select your bank.
- Type in your username.
- Follow the instructions on your device of choice.
- When you have been sent back to the signing page in Penneo, confirm by clicking Sign Documents.
- You are all set! The document has been signed, and the page will show you a confirmation.
Signing with Mobile ID
- When you have clicked Go to signing, you will be presented with your signing options. Choose Finnish Trust Network. If you do not have this option, it is because the requester has not allowed you to sign with this method. If you would like to sign with FTN, contact the requester.
- Choose Mobile ID.
- Enter your phone number and click Continue.
- You will receive a notification on your mobile device. Open it, and enter your personal code.
- When you have been sent back to the signing page in Penneo, confirm by clicking Sign Documents.
- You are all set! The document has been signed, and the page will show you a confirmation.
How to sign with Itsme®
The first six steps will show you how to confirm your identity in order to create a certificate. The last steps will then show you how you can sign the case file.

- Click on the signing link to open the case file and read all the documents. You can click on Next document if the case file contains multiple documents. When you have reached the final document, you can click on Sign. Afterwards, you can select itsme®.
- A screen will open and ask you to identify yourself. You can enter your phone number and select whether or not you want itsme® to remember your phone number. Afterwards, click on Send.
- You will be asked to prove your identity through the application of itsme® through your itsme® application.
- Open your itsme® application and click on Create certificate.
- If the information is correct, click on Confirm.
- Confirm by entering your itsme® code.
- Open the tab with the case file again within Penneo. You will get an overview of all the documents you will sign. Click on Sign documents.
- A screen will appear and ask you to prove your identity again. You will later need to select this icon in the itsme® application in order to sign the case file.
- Open the itsme® application and click on Sign.
- If the information is correct, click on Confirm.
- Select the icon that was previously shown in Penneo (see step 8).
- Open the tab with the case file within Penneo again. A message will show confirming that your signature successfully got registered.
How to sign with Simple Electronic Signature
- When you have clicked Go to signing, you will be presented with your signing options. Choose Simple Electronic Signature. If you do not have this option, it is because the requester has not allowed you to sign with this method. If you would like to sign with Simple Electronic signature, contact the requester.
- After clicking Simple Electronic Signature, depending on what the sender of the documents has allowed, you can choose between drawing your signature, uploading a picture of your signature, or creating a text-based signature. Note that if you choose to upload an image of your signature, the image cannot exceed 2 MB.
- You are all set! The document has been signed, and the page will show you a confirmation.
- Once every entitled person has signed, you will receive an email with the attached documents. When signing with Simple Electronic Signature, you cannot access the final documents at app.penneo.com. Therefore, if you lose your documents, you will need to contact the requester and ask them for a copy.
