Size limits for Penneo finalization email attachments
When a case file is signed and completed, Penneo automatically sends finalization emails. To ensure emails pass safely through the email server, Penneo enforces a maximum total size limit of 7.1 MB per email. This limit applies to the combined size of the attached documents and the email text.
The final size is determined after documents have been processed and converted within the system.
Handling document packages exceeding size limit
If the total size of the documents plus email content exceeds the size limit, Penneo checks whether the largest single document can fit in an email on its own. The final size is determined by the documents after they have been processed within the system.
If the largest single document fits within the limit (7.1 MB), Penneo splits the package into multiple emails and distributes the documents across them. Each email is labeled sequentially to help the recipient identify the sequence, for example, "Email 1 of 3" and "Email 2 of 3."
If the largest document is too large to fit within the limit on its own, Penneo sends the finalization email without attachments to ensure the notification is delivered. In this case, signed documents must be accessed directly via the Penneo Web Application (By the sender only) or in the signer's archive, depending on the specific signing method used.
Document access and attachment optimization
Whether attachments are included in a Penneo finalization email depends on two factors: the size of the documents after conversion, and whether the sender has enabled the "sensitive information" feature on the documents. If this feature is enabled, attachments are suppressed regardless of document size, and the finalization email is sent without attachments. In this case, as with oversized document packages, signed documents must be accessed directly via the Penneo Web Application (by the sender only) or in the signer's archive, depending on the specific signing method used.
Keeping individual PDFs small during the preparation phase increases the likelihood that attachments can be successfully included in the final automated emails, provided the "sensitive information" feature has not been enabled.
Copy recipient delivery rules for large documents
If a case file includes copy recipients and the documents exceed the 7.1 MB size limit:
- No email is sent to the copy recipients.
- The case file owner receives a notification email stating that the email to copy recipients could not be sent.
