Overview of Penneo company email signatures
Administrators can create a company email signature that Penneo automatically adds to all emails sent through the system. Since Penneo sends all automated communications (such as signing requests) from penneo@penneo.com, an email signature ensures that signing recipients have direct contact information for any questions regarding documents or the signature process. It is recommended to configure the company email signature before sending out case files.
Administration and application scope
Email signatures in Penneo can only be created by administrators and are applied company-wide. This means the signature is updated for all users within the company account at once and cannot be configured for individual users. The settings chosen here will apply to every transaction across the entire account.
Emails containing the company signature
The following Penneo system emails will include the company signature:
- Signing requests
- Reminders
- Finalisation notifications
- Emails sent to copy recipients
Configuring company email signatures
To create or modify the Penneo company email signature, follow these steps:
- Click on Configure in the left-side menu and select Company.
- Choose the Email Signatures tab.
- Modify the company signature in the editor. If you have an existing signature, you can copy it from your email client and paste it into the Penneo editor (excluding the logo during this step).
- Click Save changes at the bottom of the page to apply the signature.
Personalizing signatures with merge fields
To display the name of the specific user sending a document on behalf of the company, use merge fields within the signature. Use {{sender.name}} for the sender’s name and {{sender.email}} for the sender’s email address. The Penneo system automatically populates these fields based on the user identity. Note that there is no merge field for phone numbers; any phone number included in the signature will be visible to every user and recipient in the company account.
Adding a company logo to the signature
When adding a company logo to the Penneo signature, use the image upload tool rather than pasting the image directly into the editor.
- Click the image button in the editor toolbar.
- In the popup window, select the Upload tab and click Choose file to select your company logo.
