Account settings
The settings of your company account can only be viewed and changed by administrators.
Users without administrator rights cannot view or change the account settings. Therefore, administrators need to notify users when changing account-wide settings (for example, when enabling automatic deletion of case files).
Below, you will find instructions on each of the company account settings
- Find Company settings
- Company Details
- Default Language
- Security & Privacy
- Data Handling
- Case File Settings
- Domain
- Microsoft Azure Tenant ID
- Allowed Signing Methods
Find Company settings
You can find the Company settings on the left side menu by clicking Configure and then Company.
Note that only administrators can view and edit these settings.
Company Details
At the very top, you will see your company details: name, address, and VATIN.
You can edit these details by clicking the Edit details button. However, it is not possible to edit VATIN. If your company’s VATIN has changed or is incorrect, you need to contact your account manager or the Penneo sales department at sales@penneo.com. Following the request, a declaration of VATIN change will be sent to all concerned parties for signing.
Default Language
This setting determines the language in the Penneo interface for your company.
However, each individual user can change the language setting in their user account under Profile settings.
Security & Privacy
This section includes three settings:
- Allow transferring ownership of data on user deletion: Penneo recommends enabling this option. If this feature is not enabled, and you delete a user, all their data will be deleted as well. In most cases, it is not possible to retrieve this data. You can read more about how this option works in this guide: How to delete a user and transfer their data.
- Enable sensitive data by default for all case files: If you enable this option, the Sensitive data function will be active in every case file by default. However, it is still possible to disable the setting during case file creation for each user. In other words, enabling this option does not automatically activate the Sensitive feature for all case files; it just means that the Sensitive option will be automatically check-marked by default, but the user creating the case file will always be able to uncheck it. Penneo recommends using this option if you know preemptively that most case files will contain sensitive data. Read more about how the Sensitive option affects case files in this article: How "Access Control" works.
- Case file signing requests expire after: Here, you can choose the number of days (or months, or years) after which the signing requests will be set to expire. The setting you choose here will be the default setting for each case file created by any user within your company. However, just like the Sensitive option described above, the expiration date can always be changed during the case file creation process.
Data Handling
You can enable (or disable) the automatic data deletion option and set the number of days (or months or years) after which the finalized case files will automatically be moved to the recycle bin. This setting will apply to all the case files of the company, regardless of the user who created them.
The automatic deletion will affect case files one by one, based on the moment of their finalization.
After enabling the 'automatic data deletion' option, it is still possible to delete case files manually before the date set for automatic deletion.
Similarly, you can enable (or disable) the Empty recycle bin automatically option and set the number of days (or months or years) after which the case files in the recycle bin will be permanently deleted. The permanent deletion will affect case files one by one, based on the moment of their deletion from the archive and arrival to the recycle bin. In the recycle bin, you can see when each of the case files was deleted.
You can find the Recycle Bin on the left side menu.
After enabling the 'Empty recycle bin automatically' option, it is still possible to permanently delete case files manually before the date set for permanent deletion.
Case File Settings
With the Default reminder interval setting, you can establish how often a signer who has yet to sign receives reminders.
However, each user creating a case file will be able to change this setting for that case file. In other words, if you set a default reminder interval, that reminder interval will be set in advance for all the case files, but the user creating a case file will always be able to change it during the case file creation.
Domain
The domain field is related to Microsoft Azure Active Directory. This feature ensures that your company users will be directed to the correct company account in Penneo in case your company has multiple ones.
Microsoft Azure Tenant ID
In this field, you can input your Tenant ID.
What is the Tenant ID, and what's it for?
If your company wishes to use SSO, you can configure Penneo and your Azure Active Directory to allow employees to log in directly to Penneo without having to be invited first.
Every Active Directory in Azure is identified by a unique string referred to as a Tenant ID. The Tenant ID is a hex number with the format xxxxxxxx-xxxx-xxxx-xxxx-xxxxxxxxxxxx.
You can find the Tenant ID in Azure Active Directory, Properties, and then Directory ID.
You can read more about this function here.
Allowed Signing Methods
Not to be confused with log-in methods - the Allowed Signing methods are the signing methods your signers can choose from when signing (national electronic IDs, Simple Electronic Signatures).
If a signer reaches out, saying that they are missing the option to sign with their preferred signing method (a specific national eID, for instance), it might mean that the signing method is not included among the allowed ones in your company settings.
Therefore, to enable them to sign with their preferred signing method, you will need to change this setting (by check-marking the relevant signing method you want to enable). You can find this setting under Company > Details, by the bottom of the page.
