Once all the parties involved have signed the documents, you will receive an email. Depending on the security settings chosen for the case file by its creator/sender (e.g., whether or not access control options have been enabled), this email will either include:
- the signed documents as attachments - that can be downloaded directly from the email;
- a link to access the signed documents.
Below are instructions to download the signed documents (if they are not attached to the email); choose the situation that matches yours and follow its steps:
- I want to download a signed document
- I want to download a signed document that I have sent out for signing
- I can't find a document in my archive
I want to download a signed document
If you have signed a document via Penneo, a private archive has been automatically created for you and can be accessed by logging into Penneo with the same method you used when signing the document.
To access the signed document and download it, follow these steps
- Go to https://app.penneo.com/.
- Log in with the same method you used when signing your documents (if you used your eID, you have to use that same eID to log in).
- Once logged in, you should be able to see your archive. Your documents are most likely saved into your standard folder, which is usually called Unsorted. Locate the case file containing the documents you want to view or download and click on it. If you cannot find the document, it might be because the case file has not been finalized yet - i.e., not all concerned parties have signed the documents. Please check your email to ensure you have received a confirmation of finalization.
- Once you have located the relevant case file, you can choose what to download:
- If the case file contains multiple documents, you can download them all at once as a zip file. To do so, click Download all documents in the top right.
- To download a single document as a PDF, navigate to the documents list on the left side and click on the document you want to download. You will find the Download as PDF button next to the document key above the preview.
I want to download a signed document that I have sent out for signing
If you have a Penneo account and sent out documents for signature, you can find them in your account archive and download them
- When logged into your Penneo account, go to your archive by clicking Manage on the left side menu and then Case Files.
- Locate the case file containing the documents you want to view or download and click on it.
- Once you have located the relevant case file, you can choose what to download:
- If the case file contains multiple documents, you can download them all at once as a zip file. To do so, click Download in the top right.
- To download a single document as a PDF, navigate to the documents list by scrolling down. Click on the document you want to download. You will find the Download PDF button in the top right corner above the preview.
I can't find a document in my archive
If you are looking for a signed document in your archive and can't find it, it might be because the case file has not been finalized yet - i.e., not all concerned parties have signed the documents.
So, the first thing you should do is double-check the email you have received from Penneo to confirm that the document has been signed by all parties and can be found in your archive.
If you have received an email informing you that the document has been signed by all parties but still cannot find it in your archive, the reason might be that you are looking for the signed document in the wrong archive.
This can happen as you might have multiple archives in Penneo.
If you have signed documents via Penneo multiple times using different eIDs, you will have multiple archives (because a private archive is automatically created for each different eID and can be accessed by logging in with the corresponding eID).
Consequently, if you log in with an eID and cannot find the signed document you are looking for in your archive, that might mean that you signed the document with a different eID. Therefore, you should log out from Penneo and log in again with a different eID.
You are a company user in Penneo
If you have a user account linked to a company account in Penneo and want to see a document sent out for signature from that account, you need to use the credentials enabled for your user account to access the archive.
If you log in and cannot see the document you are looking for in your user account, you might be looking at the private archive that was automatically created for you when you used your eID for signing personal documents via Penneo in the past. Therefore, you should log out from Penneo and log in with the credentials you used when activating your user account. If you used a username and password, then you must log in with that login method to see your user archive.
If you want to be able to log into your user account (linked to a company account in Penneo) with your eID, you need to connect your eID to your user account by following this guide.
